Customer Success Software Options 2026

Net revenue retention is now the number most B2B software boards watch. Winning new logos costs more than it did three years ago, so keeping and growing existing customers carries more weight in the plan, and the customer success team sits at the centre of that effort. Spreadsheets and CRM notes can carry a small book of accounts, but they break down once a team is managing hundreds of customers across several products.

Customer success software has matured to meet that pressure. The leading customer success platforms now pull together product usage, support history, billing data and meeting notes to score account health, flag churn risk early, and point CSMs towards expansion opportunities. AI agents have also moved from demo to daily use in 2026, drafting account summaries, preparing QBRs and writing follow-up emails so that CSMs can spend more of their week with customers.

This guide covers ten customer success platforms across enterprise, mid-market, CRM-native and growth-stage tiers, with an independent viewpoint on each. Viewpoint Analysis is a Technology Matchmaker: helping businesses find the right technology fast, and helping vendors get found by the right buyers. We aim to be the place buyers go to understand the software market before speaking to vendors.

What is Customer Success Software?

Customer success software, also called a customer success platform or customer success management (CSM) software, is the system B2B companies use to manage the relationship with a customer after the contract is signed: onboarding, adoption, renewal and expansion. A CRM is built around the sales pipeline. A customer success platform is built around the customer lifecycle, and it draws data from the CRM, the product, the support desk, billing and email into one view of each account.

The core capabilities are consistent across the market: customer health scoring and churn prediction, automated playbooks triggered by changes in account behaviour, success plans and lifecycle tracking, renewal and expansion management, QBR and executive business review support, and reporting on team performance and net revenue retention. In 2026 most vendors add AI agents on top of these functions, and the real test is whether that AI works from your own customer data or from generic prompts.

Customer success software is different from customer support software. Help desk tools such as Zendesk and Intercom handle incoming tickets, while a customer success platform watches for warning signs and prompts the team to act before the customer raises a problem. Most mature CS teams run both, with support data feeding the health score. In-app guidance tools also overlap with customer success at the adoption stage, and the Digital Adoption Software Options 2026 guide covers that market.

How to Find Customer Success Software

The customer success platform market has a clear structure, and the right choice depends mostly on the size of your CS team, the complexity of your customer base, and how mature your CS processes are. A SaaS business with a CS Ops function and thousands of accounts needs a different conversation from a growth-stage company building its first structured CS programme. Settling the tier first saves time and avoids the two most common mistakes: buying enterprise depth that a small team cannot run, or buying a light tool that a larger team outgrows within a year.

For a tailored view of which vendors match your requirements, the Viewpoint Analysis Longlist Builder is free and builds a vendor list around your company size, location, tech stack and customer success needs. Because it filters by your situation rather than listing every platform in the market, it gives a more targeted starting point than a category guide like this one.

If you would rather have vendors come to you, the Technology Matchmaker Service works like Dragons' Den or Shark Tank for software selection. Viewpoint Analysis interviews your team, writes a Challenge Brief capturing your requirements, and invites the best-fit customer success vendors to pitch directly to you, getting you to a credible shortlist without weeks of research.

A Note on Recent Market Changes

The customer success platform market has consolidated since 2024, and buyers should know who owns what before shortlisting. Totango and Catalyst merged in February 2024 with backing from Great Hill Partners, and the combined company still sells both brands alongside its Unison customer intelligence engine. Gainsight, owned by Vista Equity Partners, has bought several companies to extend its reach beyond core customer success, including Staircase AI in 2024 for conversation and relationship signals, and Skilljar and UpdateAI in 2025 for customer education and its Atlas agentic AI platform. Smaller vendors have been buying too: ClientSuccess added onboarding and product feedback tools through its purchases of Status, Baton and Product Signals. In every case, ask the vendor which capabilities run on one integrated platform and which are still separate products under one brand.

Enterprise Customer Success Software Options 2026

Gainsight is the longest-established enterprise customer success platform and the one most large CS teams put on their longlist first. Owned by Vista Equity Partners, its platform spans Gainsight CS for health scoring, success plans, playbooks and renewal management, Gainsight PX for in-product analytics and engagement, Customer Communities, and Customer Education, which was extended by the 2025 acquisition of Skilljar. Staircase AI, acquired in 2024, reads customer emails, calls and meetings to add relationship and sentiment signals to the health score. Gainsight's agentic AI work now runs through Atlas, launched in 2025, which provides AI agents for account summaries, risk detection and CSM administrative tasks. It is best suited to large SaaS and subscription businesses with a dedicated CS Ops team, complex account hierarchies, and the internal resource to configure and run a platform of this depth.

Our Viewpoint: Gainsight offers the broadest customer success footprint in the market, covering the full post-sale journey from onboarding and education through to community and renewal. For large CS organisations that want one vendor across that whole journey, it is a strong and well-proven choice.

Totango merged with Catalyst in February 2024, and the combined company, backed by Great Hill Partners, now sells the Totango customer success platform, the Catalyst customer growth platform and the Unison customer intelligence engine. The Totango side is known for SuccessBLOCs, a modular approach where pre-built templates for onboarding, adoption, renewal and expansion can be combined into a full CS programme without starting from a blank page. Its flexible data model handles complex customer hierarchies, multiple products and non-standard data structures well, which suits enterprise organisations with complicated account structures. Catalyst brings a guided, easy-to-use interface and a revenue-focused view of expansion opportunities. Buyers should ask which modules they actually need, and how far the two products have been brought together on a single roadmap.

Our Viewpoint: Totango's modular SuccessBLOCs make it one of the faster ways for an enterprise team to stand up a structured CS programme. The addition of Catalyst gives buyers a choice of user experience within one vendor relationship.

Mid-Market Customer Success Software Options 2026

ChurnZero, based in Washington DC, has built its reputation on real-time churn prevention for subscription businesses. Its ChurnScore health engine combines feature-level product usage, billing, support activity and engagement data into a score that updates as customer behaviour changes, and a command centre view shows each CSM which accounts need attention that day. ChurnZero also offers in-app engagement through WalkThroughs and Success Centers, so CS teams can reach users inside the product. Its AI Marketplace offers around 20 ready-made AI agents in a single subscription, covering data enrichment, risk detection, meeting follow-ups and churn analysis, and ChurnZero Connect (MCP) brings live account data into external AI assistants. It suits mid-market SaaS businesses that want usage-based health scoring and automated engagement without an enterprise-scale implementation.

Our Viewpoint: ChurnZero is a focused, practical platform for teams whose first priority is spotting churn early and acting on it. Its growing set of ready-to-use AI agents gives mid-market CS teams quick access to AI without a long build.

Planhat was founded in Stockholm and positions itself as a customer platform rather than a pure CS tool, combining customer success, CRM-style account management and professional services automation in one system. Its flexible data model lets organisations shape objects, fields and views around their own business rather than a fixed schema, and its reporting is built around revenue, bringing renewals, expansion, contraction and net revenue retention into one view. Strong data warehouse connections make it a good fit for companies with mature data infrastructure that want to push their own modelled data into CS workflows. AI features cover health scoring, predictive churn signals and workflow automation. Planhat is often chosen where CS, account management and services teams need to work from a single customer record.

Our Viewpoint: Planhat is known for its flexibility and its clear focus on revenue retention. For revenue-led CS teams that want one system for every post-sale team, it is a well-designed option with a strong European customer base.

Vitally is a customer success platform built for B2B SaaS teams, with a strong following among product-led growth companies. Its collaborative docs and projects let CSMs build success plans, QBR materials and account notes inside the platform rather than in separate tools, which keeps account knowledge in one place. Integrations with product analytics and data tools such as Segment, Mixpanel and Amplitude make it well suited to companies where product usage is the richest signal of customer health. Vitally AI covers account summaries, health score automation and QBR preparation, and the platform offers pricing tiers designed around tech-touch, hybrid and high-touch CS models. Implementation is typically quick, which suits teams that need to show results early.

Our Viewpoint: Vitally is a strong choice for CS teams that value a clean, collaborative daily workspace. Its close fit with product analytics data makes it a natural option for product-led SaaS businesses.

Velaris is a London-headquartered customer success platform founded in 2021 by José Fernández-Castaño and Dilanka Kalutota, with backing from Octopus Ventures. It describes itself as an AI-native platform for mid-market and enterprise B2B SaaS teams, and it keeps a living record of every account through a context graph that combines customer communications, product usage, CRM data and support activity. Velaris Copilot answers questions about accounts, drafts success plans and analyses a CSM's portfolio, while the platform automates lower-value work such as follow-up emails, QBR creation, reports and task updates. It also supports MCP, so internal AI agents and external tools can securely draw on Velaris customer data. Health scoring is highly configurable, and the vendor offers hands-on onboarding support for every customer.

Our Viewpoint: Velaris brings a modern, AI-first design to the mid-market and is one of the few UK-headquartered platforms in the category. For UK and European buyers who want a local vendor with a strong AI roadmap, it deserves a place on the longlist.

CRM-Native Customer Success Software Options 2026

Salesforce does not sell a standalone customer success platform, but many enterprise teams build their CS motion on Sales Cloud and Service Cloud, extended with Agentforce AI agents and the wider Customer 360 platform. Running customer success inside Salesforce means the same data model, workflow engine and reporting as the rest of the go-to-market team, with no separate system to sync or maintain. Agentforce agents can monitor account signals, flag renewal risks, generate account summaries and automate follow-up tasks inside existing Salesforce workflows. The trade-off is effort: health scores, playbooks and CS-specific views usually need to be designed and built by an admin or partner rather than switched on. Many large enterprises run Salesforce as the system of record with a specialist CS platform on top.

Our Viewpoint: For organisations already committed to Salesforce, building customer success on the same platform keeps data, workflows and AI in one place. It is a sensible route for teams that value consolidation and have the admin capacity to shape it.

HubSpot Service Hub brings customer success into HubSpot's CRM, alongside its marketing and sales tools, which makes it a practical choice for mid-market businesses already running their revenue teams on HubSpot. Its customer success workspace gives CSMs a view of their accounts with health scores, renewal dates and tasks, drawing on the same CRM and support data as the rest of the business. Feedback tools cover NPS, CSAT and customer effort surveys, and lifecycle automation handles routine outreach and renewal reminders. HubSpot's Breeze AI adds agents and assistants across Service Hub, including help with drafting replies and summarising customer interactions. It suits organisations where CS works closely with sales and marketing and benefits from one shared customer record.

Our Viewpoint: Service Hub is a cost-effective way for HubSpot customers to add structure to customer success without adding another platform. Its shared data model keeps handoffs between sales, marketing and CS simple.

Growth-Stage Customer Success Software Options 2026

ClientSuccess, based in Lehi, Utah, and founded in 2014, focuses on mid-market and SMB B2B SaaS companies that want a structured CS process without enterprise complexity. The platform covers health scoring, renewal forecasting, success plans, lifecycle playbooks and customer communication tracking, with an interface designed for direct CSM use rather than heavy CS Ops configuration. It has widened its scope through acquisitions, adding onboarding and implementation tools with Status in 2023 and Baton in 2024, and product feedback and feature request management with Product Signals in 2025. That gives smaller post-sales teams onboarding, customer success and product feedback in one place. It is a common first dedicated CS platform for teams moving on from spreadsheets or CRM-based account management.

Our Viewpoint: ClientSuccess is simple to adopt and quick to show value, and its onboarding and feedback additions give small teams a broader post-sales toolset in one product. It is a good fit for a first structured CS programme.

Custify is a European customer success platform, founded in 2017 with roots in Romania, built for small and mid-market B2B SaaS businesses. It covers the core CS toolkit: health scoring from usage, billing, NPS and CRM data, lifecycle tracking, automated playbooks and task management, with a visual playbook builder that non-technical CS teams can use. In June 2026 Custify added AI-driven setup, which lets teams upload their own documents so the platform can generate playbooks, health scores and workflows, along with AI agents for customer health analysis, market monitoring and meeting preparation. Time to value is short, and teams can often be live within weeks. It suits CS teams that want structure and automation without a large platform investment.

Our Viewpoint: Custify gives smaller SaaS teams a fast, affordable route to a structured CS programme. Its AI-driven setup cuts the configuration work that often slows down a first CS platform rollout.

How to Select Customer Success Software

The most important decision in customer success software selection is matching the platform to the maturity and scale of your CS operation, not to the longest feature list in a demo. Enterprise platforms offer great depth but need CS Ops resource to configure and maintain, with implementation often running for several months. Mid-market and growth-stage platforms are faster to deploy and easier for CSMs to adopt, but can reach their limits with very large or complex customer bases. Getting this calibration right before shortlisting is worth more than any other evaluation activity.

Data integration quality comes next. A customer success platform is only as good as the data it can draw on, so test how each vendor ingests product usage, CRM records, support tickets, billing and meeting data, and how much data engineering that takes with your current stack. Health score configurability matters too: a score that cannot be tuned to the patterns of your business produces false alarms that erode CSM trust.

Ask vendors to show their AI working on data like yours. Every vendor in this category now announces AI agents, so look past the feature count and ask to see churn prediction and account summaries built from multi-signal data from comparable customers. Check, too, how agents are governed and who approves the actions they take.

Finally, weight CSM usability heavily, because adoption decides whether a CS platform pays back or becomes shelfware. Run the core daily workflow with representative CSMs during evaluation: checking account health, triggering a playbook, logging an interaction and preparing for a QBR. The platform your CSMs want to use every day will deliver better outcomes than the one they use because they have to.

Ready to select your new solution? The Viewpoint Analysis Rapid RFI gives a structured way to assess the market and reach a shortlist, and the Rapid RFP delivers a lean, time-boxed selection that reaches a vendor decision in weeks. For buyers under time pressure, the 30-Day Technology Selection combines both into one process. The Enterprise Software Selection Playbook 2026 covers every stage from problem definition to contract for buyers who want to run the full process themselves.

Summary

Customer success software in 2026 is a mature category with a clear structure. Gainsight and Totango lead at the enterprise end, with the breadth and configurability that large CS organisations need. ChurnZero, Planhat, Vitally and Velaris give mid-market teams strong options, each with a different emphasis: churn prevention, revenue visibility, a collaborative workspace and AI-native design. Salesforce and HubSpot Service Hub suit organisations that want customer success on the CRM they already run, and ClientSuccess and Custify serve teams building their first dedicated CS programme.

Three things to bear in mind when making a decision. First, choose for the CS team you have today and the one you expect in two years, not for the most impressive demo. Second, weight CSM usability as heavily as analytical depth, because adoption decides return on investment. Third, judge AI on proven results with data like yours, not on the number of agents announced.
