 Find and Select CRM Technology

CRM software is one of the most purchased - and most frequently replaced - enterprise technology categories. Almost every organisation has a CRM of some kind, but many are running platforms that are under-configured, poorly adopted, or simply no longer the right fit for how the business sells, markets, and serves its customers today.

Viewpoint Analysis is an independent Technology Matchmaker. We help Sales Directors, CMOs, IT leaders, and transformation teams find and select the right CRM technology quickly, objectively, and without vendor bias. Whether you are selecting a CRM for the first time, replacing a legacy system, or evaluating whether your current platform is still worth investing in, we bring structure and independence to every stage of the process.

Below you will find our latest CRM vendor content, a guide to the market landscape, our selection services, and free tools to support your project.

What is CRM Software?

Customer Relationship Management (CRM) software encompasses the platforms and tools that organisations use to manage interactions with current and prospective customers across the full sales, marketing, and service lifecycle. It is one of the largest and most competitive categories in enterprise software, with solutions ranging from simple contact management tools to sophisticated AI-powered platforms that connect every customer touchpoint across the organisation.

The main categories within the CRM technology landscape include:
• Sales CRM - the core use case for most CRM deployments, covering lead and opportunity management, pipeline visibility, forecasting, and sales team productivity. Market leaders include Salesforce Sales Cloud, Microsoft Dynamics 365 Sales, HubSpot, and Pipedrive.
• Marketing Automation - CRM platforms with integrated marketing capabilities covering campaign management, email marketing, lead nurturing, and marketing attribution. HubSpot, Salesforce Marketing Cloud, and Adobe Marketo are well-established players.
• Customer Service and Support - platforms that manage customer queries, tickets, cases, and service workflows. Key players include Salesforce Service Cloud, Zendesk, ServiceNow, and Freshdesk.
• Revenue Lifecycle Management - platforms that manage the full quote-to-cash cycle including CPQ (Configure, Price, Quote), billing, revenue recognition, and contract lifecycle management.
Sales Performance and Incentive Management - tools that manage sales team performance, target-setting, commission calculations, and sales gamification (e.g. SalesScreen).
• AI-Powered CRM - the latest generation of CRM platforms integrating generative AI for call summarisation, next-best-action recommendations, pipeline analysis, and automated outreach. All major CRM vendors are investing heavily in this area.
• Industry-Specific CRM - vertical CRM solutions built for specific sectors such as financial services, real estate, healthcare, or professional services, where the standard horizontal CRM platforms may not adequately serve sector-specific workflows.

CRM is also increasingly converging with adjacent categories including customer data platforms (CDPs), customer experience (CX) platforms, and revenue intelligence tools. This makes independent guidance particularly valuable - the vendor landscape is crowded, the marketing claims are bold, and the differences between shortlisted platforms are often subtle until you dig into the details.

How to Select CRM Software?

CRM selection is deceptively difficult. Most organisations have clear ideas about what they need from a CRM in theory, but translating those needs into a structured evaluation that genuinely differentiates between platforms - rather than just reproducing the vendor's own marketing - requires discipline and experience.

Our How to Select CRM Software guide covers the key evaluation areas in detail. At a high level, any robust CRM selection process should address:

  • Defining your primary use case and user base before approaching vendors - a CRM for a 10-person inside sales team has fundamentally different requirements from one supporting a 500-person field sales organisation with complex territory management

  • Deciding on your deployment scope upfront - are you selecting a sales-only CRM, or do you need marketing, service, and field service capability in the same platform? The answer significantly narrows the vendor shortlist

  • Assessing integration requirements - your CRM will need to connect to your ERP, marketing automation, finance system, data warehouse, and potentially dozens of other tools. Integration complexity is one of the most underestimated factors in CRM selections

  • Evaluating total cost of ownership - CRM licences are often priced per user and scale quickly. Factor in implementation, data migration, training, and ongoing administration costs before comparing headline prices

  • Assessing adoption risk - a technically excellent CRM that your sales team refuses to use delivers zero value. Usability, mobile experience, and change management support should carry as much weight as feature richness in your evaluation

  • Evaluating the vendor's AI roadmap - AI is transforming CRM rapidly, and the platform you select needs a credible path to delivering AI-powered productivity gains across your sales and service workflows

  • Checking references in your sector and at your deal complexity - a CRM that works brilliantly for transactional inside sales may be a poor fit for complex, long-cycle enterprise sales

Frequently Asked Questions - CRM Software Selection

We are a mid-market business - do you work with organisations our size?

Yes. CRM is one of the categories where we see the most mid-market engagement. Many of our CRM selection clients are businesses with 50 to 500 employees who have outgrown their current system and need help choosing between platforms they do not know well. We work across the full range from SME to global enterprise, and the level of complexity we apply to the evaluation is always matched to the scale of the decision.

How important is AI in CRM selection right now?

Very important, and becoming more so. All the major CRM vendors are embedding AI into their platforms at pace - from AI-written email suggestions and call summaries to predictive pipeline scoring and autonomous AI agents that can handle customer interactions end to end. If you are selecting a CRM today, you need to evaluate not just what the AI features do now but how credible the vendor's AI roadmap is over the next two to three years. We build this into every CRM evaluation we run.

How long does a CRM selection process take with Viewpoint Analysis?

Our Rapid RFI and Rapid RFP processes typically complete in six to eight weeks end to end, significantly faster than the three to six months a traditional CRM selection can take when managed internally. For organisations with tight timelines, our 30-Day Technology Selection delivers a preferred vendor decision in under a calendar month.
