Who are SoftSync?

Who Are SoftSync?


SoftSync launched in 2025 and is built by a Norwegian team, with customer data hosted on Microsoft Azure in Stockholm and processed under European law. The company is on a growth trajectory and rapidly building the product to meet customer demand.


SoftSync's solution is a reaction to what its founders see as a broken market for small business CRM. Their argument is that most systems on the market are either built for a sales team of fifty, and so arrive bloated and confusing for a team of five, or so generic that they end up being little more than a glorified spreadsheet. What Does SoftSync Do?


SoftSync is a flexible customer and sales record system: contacts, companies, and deals sit in tables, pipelines, or calendar views that a team can shape around its own process rather than forcing a rigid contact, company, deal structure onto every kind of relationship. On top of that record layer sit email and campaign tools for outreach and automatic follow-up, a scheduling product for booking demos and meetings, and a reporting layer for building the dashboards a sales leader actually asks for.


Capture is handled through a Chrome extension that saves people and company details while a rep is browsing, and a desktop Meeting Assistant that records calls and meetings without a bot joining the call itself. This sits alongside the more conventional CRM Technology category that SoftSync is competing in, where the wider market includes everything from enterprise platforms to lightweight relationship trackers.


SoftSync differentiates by embedding AI inside the product rather than alongside it. The AI Assistant lets a user ask, find, and update records in plain language, and Autopilot is pitched as a way to put repeatable sales work, such as flagging a deal that has gone quiet, onto autopilot once a rule has been described in ordinary words and approved.


The most distinctive part of the platform, though, is what SoftSync calls its agentic layer. The company runs a Model Context Protocol, or MCP, server, so an assistant such as Claude, ChatGPT, or Gemini can connect directly to a customer's SoftSync account, signing in as that user over OAuth rather than through a shared API key. Once connected, the assistant can read and write records, draft and send email, run a campaign, or restructure a table, subject to permissions the account owner sets, including a read-only mode. A REST API covering roughly sixty endpoints exists alongside it for teams who want to build their own automation rather than route everything through an AI assistant.

SoftSync Alternatives


SoftSync sits in a crowded part of the CRM market, competing both with the established platforms that most enterprise buyers already know and with a newer wave of lighter, flexible tools that have grown up around the same frustration SoftSync itself points to: CRMs that are either too heavy or too thin for a small commercial team. Anyone comparing SoftSync against the wider field is, in practice, choosing between a handful of quite different philosophies about how much structure a CRM should impose:


  • HubSpot – a much larger platform spanning marketing, sales and service, with a free tier that has introduced many small teams to CRM in the first place. The cost model soon escalates and is out of reach for most small to medium-sized businesses.


  • Salesforce – the dominant enterprise CRM, built for governance, customisation at scale and large sales organisations with dedicated administrators. It is a natural fit where SoftSync's lighter approach would be less useful for complex, multi-team sales operations.


  • Pipedrive – a visual, pipeline-first CRM widely praised for ease of use. It covers deal tracking well but leaves more of the surrounding context, such as meeting notes and follow-up, for a team to manage elsewhere, which is one of the gaps SoftSync argues its own connected workspace closes.


  • Attio – a newer, flexible relationship database aimed at fast-moving teams who want to define their own objects and structure. It is close to SoftSync in spirit, though SoftSync puts more emphasis on built-in email, meetings, and AI automation rather than raw data flexibility.


  • folk – a lightweight relationship CRM popular with founders and small teams for its simplicity and speed to set up. It competes directly with SoftSync's positioning against bloated systems, and the practical difference tends to come down to how much automated capture and follow-up each platform builds in versus leaves to integrations.
