Is an RFP the Right Step Right Now?


An RFP is a shortlist to preferred vendor document. It works best once you already have three to five finance software vendors you are seriously considering, and you need a structured, comparable way to choose between them.

Why a Finance RFP Needs Its Own Approach


A finance software RFP carries weight that a generic IT RFP template was never built to handle. Three things in particular set it apart:


●      Compliance and audit trail depth. Finance software sits directly behind statutory reporting, tax filings, and external audit, so the RFP needs to test audit trail depth, controls, and segregation of duties, not just functional fit.


●      Integration breadth. Finance data flows to and from more surrounding systems than most software categories, spanning banking, procurement, payroll, and business intelligence, so integration questions need far more specificity than a generic checklist provides.


●      Historical data and migration risk. Migrating years of general ledger history, chart of accounts structure, and open transactions carries real risk, since an error here does not just cause inconvenience, it can produce an incorrect financial statement.

What to Include in a Finance Software RFP


The elements below draw on our general guide to what to include in a software RFP, tailored to what actually matters for a finance software decision.


1. Company and requirement overview. Introduce your organisation and set out the business problem driving this project. Vendors respond far better to a clear picture of why you are buying than to a bare feature checklist.


2. Financial reporting and consolidation requirements. Set out your entity structure, currencies, and reporting requirements, and ask vendors to explain specifically how their platform handles consolidation across the complexity you actually have, not a simplified version of it.


3. Compliance, audit trail, and controls. Ask for detail on audit trail depth, approval workflows, and segregation of duties, and request sample compliance or audit reports if the vendor can provide them.


4. Integration with your existing systems. Ask vendors to confirm integration with your banking, procurement, payroll, and business intelligence tools specifically, rather than accepting a general statement that integration is possible.


5. Data migration and historical data handling. Ask how the vendor approaches migrating historical general ledger data and open transactions, and what validation steps confirm the migrated figures are correct before go live.

6. User access, roles, and segregation of duties. Ask how granular role based permissions are, and how the platform prevents the same user from being able to both create and approve a transaction.


7. Implementation, support, and timelines. Ask for a realistic implementation timeline based on your specific complexity, not a generic best case, along with what support looks like once the system is live.


8. Commercial terms and total cost of ownership. Ask for a full cost breakdown covering licensing, implementation, and any ongoing integration or support fees, since the license cost alone rarely reflects the true cost of a finance platform.

Common Finance RFP Mistakes


Once you have built your RFP, remember not to fall into the trap lots of buyers make.


  • Under-specifying compliance and audit requirements, then discovering only at implementation that the platform cannot produce the reports your auditors actually need.


  • Treating integration as a late-stage detail rather than a core requirement, when finance sits at the centre of more system connections than almost any other category.


  • Not testing multi-entity or multi-currency consolidation scenarios directly in the RFP, and only discovering gaps once real, messy data is involved.


  • Comparing vendors on licence cost alone, without a full total cost of ownership view that includes implementation and integration.


  • Skipping detailed questions on segregation of duties and access control, which auditors will ask about later regardless of whether the RFP did.
